Registration and submission of works:
  • Submission Method:
       All artwork must be submitted online, and there is no restriction on the actual size of the artwork.

  • File Type and Size Limitation:
       Participants are allowed to submit artwork in JPG or PNG file formats only. The file size must not exceed 5MB.

  • Handling of Physical Artworks:
       If the artwork is a traditional darkroom print or an instant film photograph, participants must first scan the artwork to the specified file format and then submit it online. Additionally, participants are required to keep the physical original of the artwork until the end of the competition.

  • Preservation of Original Files or Physical Artworks:
       Participants must preserve the original files or physical originals of their artworks until the end of the competition and after receiving the awards and certificates. Throughout the competition period, the organizing committee reserves the right to request participants to submit the original files of their artworks for verification, judging, or other purposes. Failure to submit the original files within the specified deadline will result in disqualification.

  • Number of Entries and Artwork Limit:
       Participants can register for the competition multiple times, but each registration can only include one artwork submission. Each artwork can be submitted for this competition only once.

Registration and submission method:
  1.  Completing the Artwork for Participation:
       Participants are required to prepare suitable electronic files of their artworks and upload them in the registration form.

  2. Fill out the Online Form and Upload Artwork:
      Participants should fill out the complete online form and simultaneously upload the electronic files of their artworks.

  3. Confirming Registration Details and Obtaining Participant Number:
       After submitting the form, please check your email for the registration confirmation. Verify the provided registration information and take note of the participant number.

  4. Preserving Physical Originals or Original Files of Artwork:
       Participants must carefully preserve the physical originals or original files of their artworks until the end of the competition and be ready to submit them at any time during the competition.

  5. Confirming Registration Confirmation Email:
       If you do not receive the registration confirmation email, please check your "Junk/Spam" folder. If you still cannot find the confirmation email, it might be due to an incorrect email address provided during registration. Please repeat the registration process with the correct email address. If the issue persists, kindly contact us for assistance.

  6. Bulk Registration Arrangements:
       For arranging registrations for five participants or more, please contact our staff via WhatsApp to make the necessary arrangements.

Awards:
  • Each category will have one champion, one first runner-up, one second runner-up, and an unlimited number of gold, silver, bronze, merit, and participation awards.

  • If a category has less than five participants, only the champion will be awarded. If a category has less than three participants, no rankings will be assigned.

  • In the event that the champion, first runner-up, or second runner-up in any category fails to complete the entire competition procedure, the respective rank will be considered vacant and no replacement will be made.

  • Winners of each prize are eligible to apply for the respective award certificates, medals, trophies, and plaques based on their individual preferences and needs.

  • Participants recommended by institutions/instructors, who achieve five or more gold awards in the competition, are eligible to apply for the "Outstanding Guidance Award" (for institutions) or the "Outstanding Teacher Award" (for instructors). The award will include certificates, medals, trophies, and plaques. If needed, please contact the staff for further details.

 

Award application fee:
Certificate – HK$60 (includes one local trackable mail or courier fee) (price will be adjusted in 2024)

Electronic Certificate - HK$50 (PDF file will be sent by email for non-Hong Kong contestants to choose)
Medal - HK$100 (Included once local traceable mail or courier fee)
Trophies - Trophies styles and application fees will be announced at the time of formal application. Trophies are about HK$180 (Included once local traceable mail or courier fee)

***If the prize is sent to a non-local mailing address, the participant will be required to pay the relevant additional mailing fee.

 

Overseas Mail Reference:
For overseas contestants applying for certificates or awards, the default delivery method is "Hongkong Post" Surface Registered Mail service. Related fees and delivery time can be calculated by referring to the "Hongkong Post" website.

Special notice:

           In response to the requirements of overseas participants, in order to reduce the cost of overseas mailing, starting from March 31, 2021, the default mailing method in all Asia regions will be changed to "Surface Registered Mail". However, the mailing time will be extended. All overseas participants please Pay attention.

***All awards (including local and overseas) if there are any unsuccessful delivery, failure to receive, loss of parcels, etc. Will not be sent again under any circumstances (including but not limited to incorrect mailing information, failure to receive, failure to sign, missed the deadline of receive). If the mail is returned to the competition, the applicant would like to arrange for reposting, all relevant postage shall be borne by the applicant.

  • The award application link will be sent out at the same time as the results announcement email. After the winners have paid the payment, they can click the link to complete the online application and upload the payment proof at the same time.

  • Deposit Receipt (Payment Paper) Please take a clear photo and save it as a PDF, JPG or PNG file for submission, and keep the original physical receipt until the end of the event.

  • To pay by electronic payment, please fill in the name of the participant in the remarks, and save a screenshot of the payment confirmation screen with transaction number, date and time as a PDF, JPG or PNG file for submission.

  • If the screenshot of the electronic payment proof does not have sufficient information (such as remarks, transaction number, date and time), it will not be recognized.

 

Overseas non-Hong Kong participants:

​ Non-Hong Kong local contestants who are unable to pay by the above payment methods can apply for credit card payment when registering for each event or award application. After completing the application, the payment link will be issued by email.

(Overseas payments do not accept any payment methods other than credit cards. Please do not force remittances. All overseas forced remittance fees will not be processed and refunded. All handling fees incurred due to overseas forced remittances will be recovered.)

Rules:
  1. This competition will be conducted in accordance with the "Comprehensive Competition Rules" of the above culture and the rules of this competition. Once the participants register, they have understood and agreed to abide by all the rules.

  2. Once all the works are submitted, it is agreed that the works will be displayed and exhibited in any way at any time, without the need for the author's consent.

  3. If the competition requires the participant to submit the physical original of the entry, the participant must submit the entry to the designated location within the deadline.

  4. Saihui will not be responsible for any damage to all works.

  5. The size of the submission file cannot exceed 5MB. If the participating photos have been selected to enter the final selection stage of the awards or merit awards, the organizer reserves the right to request the participants to provide high-resolution original files.

  6. The works processed by the digital image modification will be disqualified, and the works can only be subjected to basic corrections such as cropping, dust removal, reasonable exposure, color adjustment and contrast processing.

  7. If the submitted entries include portraits, the entrant is responsible for obtaining the consent of the relevant person and, if necessary, provide the organizer with certification or authorization documents.

  8. The following works will be disqualified:

    1. Photos obtained in violation of the rights of others;

    2. Photos containing pornographic, nudity, obscene, violent, and other controversial or inappropriate subject matter;

    3. Photos involving deliberate harassment, disrespect or damage to the wild ecological environment;

    4. Photos that threaten the safety of any individual or animal.

  9. Once any fee is paid, no refund will be provided under any circumstances.

  10. The defending unit reserves the right to make the final decision on qualifications.
